I’ve spent over 15 years working as an Executive Assistant. If you’re an EA, you know we manage everything — calendars, travel, budgets, operations, and sometimes even our executive’s life. But something I realized over the years is this: Many of us were never actually taught how money works. I grew up in a family where working hard was everything, but conversations about financial strategy weren’t something we had. Over time I started learning the things many of us were never shown — and now I love sharing that with other corporate women who want more clarity and confidence around their future. Your calendar habits represent how you think. Here are 3 things exceptional EAs never forget. 🗓️ 🏃 Walk the day in their shoes. Before anything gets finalized, ask yourself if you could realistically show up to everything on that calendar and perform well. Five Zoom calls after a board meeting plus a networking coffee is how you’ll burn your exec out. If you personally wouldn’t survive it, don’t book it. 📧 Never send an invite until it’s ready. Location confirmed. Conferencing link added. Attendees verified. Materials attached. Sending and resending the same invite is one of the fastest ways to lose credibility as an EA. Slow down before you hit send. ✅ Your exec should be able to run their entire day solely from the calendar. Every meeting has a brief. Every document, presentation, and material lives inside the invite. (Separate any confidential meeting notes in another block next to the meeting) Your exec should never have to hunt down a file, ask for context, or go into a room unprepared. ⏳The calendar is the single source of truth for their day. If you want to be an exceptional executive assistant, anchor yourself to one mindset and let it guide everything you do. Your role is leverage. You exist to create space for the person you support to operate at the highest level of their capacity. That means protecting their time, protecting their energy, and protecting their cognitive bandwidth. Every task you take ownership of should free them up to focus on work that actually requires their unique judgement, experience or influence. Start looking at your day through that lens. Where is their friction? What is interrupting their flow? What decisions are sitting with them that could be progressed, pre-read, summarised or resolved before it ever reaches their desk? Elite executive assistants develop a radar for low-leverage tasks and quietly absorb them. Part of the role is also partnership. Not every high performer has spent time thinking deeply about delegation. Some are exceptional operators who simply default to doing everything themselves. A great EA helps build that muscle. You create systems, rhythms and trust so that more and more responsibility can move off their plate without quality dropping. When you consistently remove the unnecessary and protect the essential, you change the output of the person you work for. That is when the role shifts from support to strategic. That is when you become indispensable. People ask me what an executive assistant actually does all day. So I stopped explaining and just showed them yesterday. She coordinated a printer repair with my house manager. Researched 15 HIPAA lawyers, narrowed to 3, and scheduled intro calls. Caught a fraudulent charge on our card, got the refund, cancelled the compromised card, secured a replacement, and migrated every recurring payment. Found three Torino booking options based on my budget and proximity to the train station. Booked a call with a financial advisory firm. Scheduled three sales appointments. Hit inbox zero across email, WhatsApp, Instagram, LinkedIn, and Instantly. That was one day. Not a highlight reel. A regular Tuesday. And my job that day was to focus on the things only I can do.
