The problem isn’t that you’re inefficient or bad at time management. The problem is that you have too much on your plate — and no amount of time-blocking or color-coded calendars is going to fix that. What actually works is not a hack; it’s a decision. The decision to look at everything you’re doing and ask: does this actually need to be done? Does this actually need to be done by ME? Does this actually need to be done right NOW? For a while this was literally my operating system. Nap down. Sprint to laptop. Try to remember what I was doing. Answer messages. Start something important. Get interrupted. Repeat all day. It felt like I was working constantly, but nothing meaningful was moving forward. Just maintenance. Keeping things alive, not growing them. The problem with 20-minute pockets is you never get deep enough into anything to create momentum. By the time your brain warms up, the pocket closes and you’re back to snacks, nappies, or someone yelling your name from another room. What helped wasn’t squeezing more into those pockets. It was changing what I expected them to do. 20-minute windows are good for: Replying to people Following up leads Posting something already prepared Admin that keeps things tidy They are terrible for: Strategy Offer creation Big decisions Anything that requires thinking Once I stopped trying to build the whole business in scraps of time and saved bigger tasks for when I actually had space, I stopped feeling like I was constantly failing. Then I realized: the problem wasn’t how I used my time. It was what I was saying yes to. So I built a 3-step framework: 1. SEE IT — Get honest about where your time actually goes. Most of us have no idea how much time we’re losing to things that don’t matter. We think we know, but we don’t. If you skip this step, you’ll keep “optimizing” a schedule that’s full of stuff that shouldn’t be there in the first place. In other words, you can’t fix what you can’t see. 2. CHOOSE IT — Use a filter to decide what deserves your time. Without a filter, everything feels equally urgent. So you keep saying yes to things out of guilt, obligation, or habit—and wonder why you never have time for yourself. This step gives you instant clarity. No more agonizing over every decision. No more guilt spirals when you say no. 3. PROTECT IT — Put systems in place so your free time stays free. This is the step most people skip—and it’s why they end up right back where they started. You clear something off your plate, and within a week it’s filled with something else. If you don’t protect your time, other people’s priorities will take over. Every single time.
